Job Description

HFM BOCES is accepting applications for a full-time 12-month Program and Budget Assistant for the Adult Literacy and Corrections Education program.  This full-time provisional position has an anticipated start date of May 27, 2021.  This position has a full benefits package including, health and dental insurance, retirement, paid time off, and eligibility to join the CSEA bargaining Unit. 

TYPICAL WORK ACTIVITIES (Illustrative but not exhaustive):

  • Prepares and reviews a variety of complex financial documents using Excel, evaluates information for accuracy, manages information according to prescribed procedures and policies;
  • Understand and apply pertinent regulations, policies, and procedures with good judgment
  • Gathers & enters data; reviews for accuracy; resolves data issues, runs & evaluates reports; shares with appropriate staff; follows up to ensure information is accurate and complete;
  • Perform keyboard skills with accuracy using word processing and spreadsheet applications proficiently, including Microsoft and Google applications; operates a calculator accurately and efficiently;
  • Creates and maintains spreadsheets for the preparation of the budget for the division, including a variety of grant funded programs;
  • Prepares spreadsheets for up to date information regarding the availability of funds;
  • Checks for accuracy of computations and completeness or supervises the preparation of daily, weekly and monthly reports which are compiled into summary reports or claims for Federal or State reimbursements;
  • Types and maintains various types of documents including but not limited to: fiscal documents, reports, data, forms, form letters, memos, press releases, fliers, memos, invoices, vouchers, records and similar information using a keyboard, word processor or personal computer and standard business English;
  • Contacts students, clients, vendors or other agencies to obtain additional information;
  • Supports the needs of staff members working in remote locations through the acquisition and distribution of materials, sharing information, entering information into the database promptly and accurately
  • Organize staff meetings: Scheduling, note taking, sending reminders, taking attendance
  • Provides information orally or in writing in response to inquiries; good grammar needed;
  • Communicate with potential students, students, colleagues, RAEN, NYSED, vendors, etc. to gather and share information in writing, in person, on phone, via social media
  • Receives and returns phone calls; engages potential students to encourage enrollment; provides information and assistance to the general public
  • Assist with the intake and assessment of students, including registration into digital learning platforms
  • Effectively maintain electronic and hard copies of documents
  • Search for information on the internet and evaluate it for reliability
  • Compares data between months and years to see trends; interpret information in data reports
  • Creates promotional materials for various audiences; good writing skill needed;
  • Assists in social media posts, press releases, interagency communications
  • May supervise employees by assigning and reviewing completed work
  • Assist in the coordination and administration of the high school equivalency exam.

Job Qualifications

Residency Requirement

You must be a resident of Hamilton, Fulton or Montgomery County in order to be considered for this position.

Minimum Qualifications

Graduation from high school, possession of a high school equivalency diploma, or a high school individual education plan diploma, and either: 

  1. Completion of 60 credit hours at a New York State registered or regionally accredited college or university which must have included at least 12 credit hours in accounting or bookkeeping and one year of experience maintaining financial accounts and records; or

  1. Three years of experience maintaining financial accounts and records; or 

  2. An equivalent combination of training and experience as defined by the limits of (A) and (B) above. 

All experience required to meet the minimum qualification section is PAID. 

TESTING

You will also be required to take the Senior Account Clerk exam, pass it and be reachable on the Fulton County civil service list once it is established to maintain and continue in your appointment/position as probationary. 

BACKGROUND SECURITY CHECK
